Built-up furnished booths are offered in various sizes and contain basic furniture and furnishings:

  • Common to all sizes: Two/Three sides walls with laminated vinyl infill panels, fascia with company name (vinyl computer cut-out lettering), and synthetic carpet.
  • Specifics vary by size: : E.g., a 9-15 sq.m. stall includes one table, two chairs, three spotlights, one dustbin, and one 5 amp power socket. Larger stalls include more furniture and lighting.

  • Indoor Built-Up (1 side open - min. 9 sq.m.): Rs. 6500 per sq.m. / €250 per sq.m.

What is the payment schedule for exhibitors? +

Stalls are booked upon payment according to the following schedule:

  • Advance Payment: 25% of total space rental, due within 3 days of submitting the application for booking confirmation.
  • Second Installment: 25% of total space rental, due by July 31, 2025.
  • Final Payment: 50% of total space rental, due by October 31, 2025.

Failure to adhere to the payment schedule may result in booking cancellation and forfeiture of any amount paid.

What are the accepted modes of payment? +

All payments within India should be made by Demand Draft / Cheque / online transfer, favouring "Laghu Udyog Bharati payable at Jaipur.", India, in Indian Rupees. For overseas exhibitors, all payments are to be made by electronic Bank transfer favouring Laghu Udyog Bharati.

Is Goods & Service Tax (GST) applicable to exhibition services? +

Yes, the Government of India levies GST on all exhibition services. GST is payable on stall rentals, electrical charges, advertisement charges, Sponsorships, and other fair services at a rate of 18% on the billing amount, over and above the listed rates.

What is the cancellation and refund policy for exhibitors? +

If an Exhibitor withdraws from the contract, refunds are as follows:

  • On or before July 30, 2025: 50% refund of space rental paid.
  • On or before October 30, 2025: 25% refund of space rental paid.
  • After October 30, 2025: No Refund.
When can exhibitors access their space for set-up and dismantling? +
  • For Built-up space Exhibitors: Exhibits should be brought to the exhibition ground on February 3, 2026.
  • For Indoor/Outdoor Raw Space Exhibitors: Possession will be given on January 31, 2026.
  • No entry of goods will be allowed after 4:00 PM on February 4, 2026.
  • All materials must be installed by 4:00 PM on February 4, 2026.
  • All materials must be removed by 6:00 PM on February 9, 2026.
What are the rules regarding stand design and approval for raw space? +

Every Indoor Raw Space and Outdoor Raw Space Exhibitor must submit their stand design and a scale mock-up, including details of exhibits, electricity, other installations, and elevation details, in four copies for Organiser approval before December 30, 2025. Exhibitors with raw space must erect their stand themselves, adhering to the Rules and Guidelines for Design & Construction of Stand.

Sales are not allowed during the fair, however, negotiations for sale may be conducted. Removal of any exhibit during the fair period is strictly prohibited. All dues to the organizers must be settled before the closure of the fair to ensure smooth removal of goods.

What about electricity supply for stands? +

Electricity is available at 230 V Single Phase and 400V three Phase, A.C. 50 Cycles. General lighting in the hall and booth is free. However, exhibitors must pay for additional electricity consumption for machinery demonstration at specified rates. Indoor Raw Space and Outdoor Raw Space exhibitors must provide their exact connected load requirement in KW by November 30, 2025. Internal distribution to machinery/equipment must be arranged by the exhibitor's electrical contractor, adhering to safety norms.

Is insurance required for exhibitors? +

Exhibitors are required to arrange their own insurance against all ascertainable risks from transportation to display and removal, at their own cost. The Organisers will not be responsible in any way

What if there are damages to the exhibition ground? +

Exhibitors will be required to make good all damages or make payment for damages incurred to the exhibition ground facilities/buildings etc. during setting up, the fair period, and/or dismantling period.

Can the Organizers change the layout or reallocate space? +

Yes, the Organisers reserve the right to reallocate space, change the layout, add or delete corridors in the Space Plans, which may affect the orientation of some Exhibitors. The decision of the Organisers shall be final and binding to all. The Organisers also reserve the right to turn down applications or deny participation to already confirmed Exhibitors.

How are exhibitor badges issued? +

Entry into the fairground is based on exhibitor badges issued by the organizers, which can be procured from the site office during the construction period. The number of badges issued depends on the booked space (e.g., 3 badges for 9 sq. m., up to 15 badges for 120 sq. m. and above). Vehicle entry is generally not allowed during exhibition days unless specified.

How do exhibitors unload material for their booths? +

Exhibitors' employees or labor can hand-carry material or use trolleys, ensuring no damage to flooring. Equipment should be directly transported to the exhibition floor, and no storage is allowed at driveways or behind stalls. The official freight forwarding agency can also provide assistance.

How can exhibitors order equipment and services for their booths? +

Exhibitors can place orders for requirements with the vendors and service agencies listed in the Exhibitor Manual. The manual also contains specific forms for various services that need to be filled and sent to the concerned agency by the given deadlines.

Only empaneled service agencies for security, cleaning, phones, catering, courier, and other services are permitted to operate within the exhibition premises.

What if the exhibition is cancelled or suspended due to unforeseen circumstances (Force Majeure)? +

If the Exhibition is abandoned, cancelled, or suspended in whole or in part due to reasons like war, national emergency, labour dispute, non-availability of Exhibition premises, or any other cause not within the control of the Organisers, the Organisers may, at their own discretion, repay the rental paid by the Exhibitor in full or part thereof. However, they are under no obligation to repay full or part thereof such rental and shall be under no liability in respect of any action, claims, or losses.

How are disputes resolved? +

All unresolved matters, questions, disputes, or differences arising between the Exhibitor and Organisers shall be settled by arbitration in accordance with the rules of the Arbitration and Conciliation Act 1996. The arbitration proceedings shall be conducted in English in Jaipur, India, and will be solely and exclusively governed by this agreement.
